Guidelines for Participation

The terms and conditions for the guided walking meditation event are designed to outline the legal framework governing the participation of attendees. These terms and conditions establish the legal relationship between the participants and the event organizers. They are tailored to the unique nature of the event, ensuring a safe and enriching experience for all participants.

The terms and conditions cover various aspects including participant eligibility, event guidelines, liability waivers, and event modifications. Additionally, they address intellectual property rights, participant conduct, and event cancellation or suspension. 1. Rules and Regulations

​1.1 Event Timing and Attendance

  • Participants must arrive by 6:15 AM to ensure a smooth start. Late arrivals may not be allowed to join.

1.2 Participant Conduct

  • Maintain silence and respect throughout the meditation session.

  • The use of mobile phones or other devices for conversations is prohibited. You can only use your phone on airplane mode after downloading the guided meditation process.

1.3 Health and Safety

  • Wear comfortable walking shoes and weather-appropriate clothing.

  • Inform the organizers of any medical conditions in advance that may affect participation.

1.4 Environmental Care

  • Dispose of waste responsibly and avoid littering.

  • Stay on designated trails to protect the park’s natural environment.

1.5 Photography and Recording

  • Unauthorized photography or recording of other people without prior consent during the event is not permitted.

  • Any photos clicked of self and/or friends can be uploaded on social media with the hashtags #zentrails #thecalmcollective.

1.6 Membership Guidelines

  • Joining the Calm Collective WhatsApp community is a privilege and subject to adherence to community guidelines promoting mindfulness and respect.

 

2. Legal Disclaimers

2.1 Liability

  • Participation is at the participant's own risk. The organizers and Borivali National Park shall not be liable for personal injuries, property damage, or loss incurred during the event.

2.2 Health Certification

  • By participating, attendees confirm they are in good health and capable of physical activity.

2.3 Force Majeure

  • The event may be rescheduled or canceled due to weather conditions or unforeseen circumstances. No liability will be assumed for such changes.

2.4 Media Use

  • The organizers may use event photographs and videos for promotional purposes. Participants can opt out by notifying the organizers in advance.

2.5 No Outcome Guarantee

  • The event does not guarantee specific physical, mental, or emotional outcomes. Any desired results are solely dependent on one’s own level of participation.

 

3. Terms and Conditions

3.1 Registration

  • Registration is mandatory and closes 24 hours before the event.

  • Early registration benefits are only available for registrations completed by 25 December 2024.

3.2 Fees and Refunds

  • Fees must be paid in advance, if applicable. Refunds are only allowed if the organizers cancel the event.

3.3 Cancellation

  • No refunds or cancellations for no-shows.

3.4 Data Privacy

  • Personal information collected will be used solely for event purposes and to share information and updates with you as a member of The Calm Collective.

3.5 Indemnification

  • Participants indemnify and hold harmless the organizers against any claims arising from participation.

 

4. Health and Liability Waiver

Acknowledgment of Risk

I understand that outdoor activities involve inherent risks, including uneven terrain and weather conditions, and I accept full responsibility for my participation.

Health Certification

I certify that I am in good health, capable of moderate physical activities, and have disclosed any medical conditions to the organizers. 

Liability Release

I release the event organizers, Calm Collective, and Borivali National Park from any claims related to injuries, loss, or damages incurred during the event.

Media Release

I authorize the use of my image in photographs or videos for event promotion unless I opt out in advance.

5. Data Privacy Consent Form

Consent to Collect and Use Personal Information

By signing below, I consent to the collection and use of my personal data for event management purposes as outlined:

  • Purpose: Manage registration and ensure participant safety.

  • Retention: Data will be deleted within 6 months unless otherwise agreed.

  • Opt-Out: I may request data deletion at any time by emailing [email address].

6. Media Usage

Consent for Event Media Usage

I consent to the use of my photos/videos for promotional purposes.

 

7. Additional Event Guidelines

  1. Participants must follow the health protocols and advisories as laid down by the event promoters and event crew members. Failure to comply will result in disqualification.

  2. Only registered participants wearing the identification bracelet provided by the event organizers will receive the guided walking meditation track via download link.

  3. Certificates will NOT be issued to participants who do not complete the entire guided walking meditation distance or fail to start at the official declared time and starting point.

  4. No wheeled vehicles are allowed on the course. Participants must park them in the designated lot and enter the venue on foot.

  5. Participants may not bring pets, unregistered runners, or under-aged children.

  6. Helium-filled balloons are not permitted at the event venue.

  7. Participants carrying weapons, ammunition, narcotic drugs, or psychotropic substances will be handed over to the authorities immediately.
